You can view your Profile by going to your MeetingPlace Homepage (http://meetingplace. corp. halliburton. com/) and clicking on the Account link in the top right hand corner of your screen. You will have the option of viewing your basic account information as well as changing meeting preferences (changes will affect all future meetings you schedule). Scheduling, Attend & Cancel Meetings Q. How do I schedule a conference call on MeetingPlace? A. Setting up a meeting is simple. You can do it right from your Outlook Calendar, MeetingPlace Web or Touchtone phone. For details, see the Quick Reference Cards. Q. I scheduled a call from 9 am to 10 am. Our team got delayed and we weren't able to dial in until 9:35 am. Why wasn't my meeting still available, since I had a confirmed reservation until 10 am? A. MeetingPlace will automatically end the meeting if no one calls within 30 minutes of the scheduled start time. To prevent this from happening make sure at least one person calls into the meeting within that predefined timeframe. Q. I want to use a specific Meeting ID but the system won’ t let me. Why not? A. The general rule is that a Meeting ID cannot be reused for at least two hours. This is a security feature. The system will not allow a Meeting ID to be used if: • Another call is currently using or is scheduled to use that ID at the same time you want to use it • Another conference has used that ID on a call that ends or has ended less than 1 hour before the start time of the call you are trying to schedule • Another conference is using that ID for a call that will start in 1 hour or less. The best way to avoid problems is to select an ID that is not likely to be chosen by others (or let the system choose one for you).
